Responsibilities

  • Supporting document flow across the Company’s departments and European-based Company’s subsidiaries: managing  
    and recording incoming and outgoing correspondence using the Electronic  
    Document Management Program (EDMP).
  • Distributing correspondence and documents (both hard copies and electronic 
    versions) to internal recipients.  
  • Monitoring the delivery and receipt of outgoing correspondence, and 
    coordinating with local and international courier and postal services. 
  • Ensuring proper approval, execution, and record-keeping of internal 
    Company and European-based Company’s subsidiaries documents, including but not limited to questionnaires, powers of 
    attorney, and the Company’s resolutions.  
  • Tracking and ensuring compliance with deadlines for document approval 
    and execution within EDMP. 
  • Organizing archiving and secure storage of both electronic and physical 
    documents.  
  • Facilitating uninterrupted and stable data exchange between the parent 
    company, its subsidiaries, and external stakeholders.
  • Managing electronic correspondence and document exchange with the 
    Company’s departments and counterparties, as applicable.  
  • Performing operational tasks within the EDMP system.  

Requirements


  • Bachelor’s degree in Paralegal  (is a plus), Business Administration, Records Management, or a related field. 
  • 3+ years of experience in document management, legal assistance, contract administration, or a similar role. 
  • Proven experience working in a corporate or matrix organization. 
  • Strong knowledge of document control processes, including registration, approval, distribution, and archiving. 
  • Proficiency in Microsoft Office Suite; experience with EDMS/EDMP or similar tools is an advantage. 
  • Excellent attention to detail and organizational skills. 
  • Strong communication skills and teamwork abilities. 
  • Ability to handle multiple tasks and meet deadlines with minimal supervision. 
  • High sense of responsibility, accuracy, and confidentiality. 
  • Fluent English, Russian (is a must)  other languages will be a plus. 
  • Experience supporting legal departments or corporate secretariat functions will be a plus.
